SagesGov: Electronic Plan Review and Document Digitization

JEA's SagesGov Platform Is Now Live

JEA's Water/Wastewater Planning and Development Department has begun implementation of SagesGov, a cloud-based solution for electronic document submittals and plan reviews. Our goal is to eliminate all paper plans and have a zero-square foot office storage space, while maintaining all required digital files for our records.

NOTE: You must have access to Google Chrome in order to work in SagesGov. SagesGov is not fully functional in Internet Explorer. If your team does not currently have access to Google Chrome, please ensure you have the most updated version of Google Chrome.

This enhancement will provide organizational and customer benefits: a one-stop-shop for all development needs; electronic project files that are easily accessible to all JEA personnel; significant savings in paper and courier costs; and reduced cycle time for project processing (reviews, permitting, inspections).

Closed Title:I signed up for a Sages account, why can’t I login?
Open Text:

JEA has to verify your account before you will be able to log into it.  You will also get a confirmation email that you will need to verify your email account.  Account verification by JEA is not instantaneous but will be addressed as quickly as possible.  If it has been longer than 24 hours since you signed up for your account and you still don’t have access please email jeadevelopment@jea.com.

Closed Title:Why do I need to do this? I am happy emailing my requests to the development team.
Open Text:

The development team has worked very hard over the last 2+ years to ensure the program meets the needs of our development community. A couple of the largest benefits of this program are the review status availability and the tracking of all requests. Using this program will ensure that everything you submit is recorded, both for the benefit of JEA and for the customers. The rich history function allows you to see when you submitted an item and what the result of that submittal was. The software is programmed to send out reminder emails to the JEA staff when deadlines are nearing, to reduce or eliminate any projects “falling through the cracks”. If you, or JEA, has personnel turnover, you can seamlessly proceed without delay or interruption, as everything that has happened with the project can be found under the explorer icon.

Closed Title:I am going to just keep emailing or dropping off my plans, I don’t need to use this program.
Open Text:

When JEA goes live with this program we will no longer be accepting hard copies of plans.  As you know the plans are just the beginning of the development process, and without them in the system the processes downstream can’t be properly executed and meet their deadlines.

Closed Title:Why can’t I just email my request like I always do?
Open Text:

The new system not only tracks all requests, but the resulting response.  This helps all of us in so many ways;

  • You will always know your request was submitted and came through the system
  • You can always check the status of your request
  • You can always check the result of your request
  • All project requests are linked to the project so we all, development community AND JEA, can know what has been completed, what is outstanding, and what comments are made.  This will result in more efficient processing and reviews
  • Will result in an elimination of duplicate requests

Closed Title:I am just going to call ____ person at JEA. They will just do this for me.
Open Text:

Staff has been instructed to help you with any questions you have, but we will be helping you, not submitting it for you.  For us to submit your request would mean you do not have access to the details of it.  Besides JEA staff support, we have recorded and posted training videos for each topic tile, and we are conducting multiple Q&A sessions on the various topics and will be posting those for your reference as well.
